Who we are
AdonisAgent is a product of Vantaige Limited, a company registered in Ireland ("we", "us"). We run the website at adonisagent.ie and the AdonisAgent platform, a workspace that gyms, studios and clinics use to manage clients, bookings, memberships and marketing.
We comply with the EU General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018. Questions about this policy or your data go to privacy@adonisagent.ie.
Our role: controller and processor
We are the controller for personal data about visitors to our website, people who request a demo, and the people who hold AdonisAgent accounts.
We are a processor for personal data that a business puts into AdonisAgent about its own members, clients and leads. That business is the controller and decides how the data is used; we process it only to provide the service, on its instructions. If you are a member or client of a business that uses AdonisAgent, please contact that business first. We will help it respond.
Data we collect
- Demo requests and enquiries. Your name, email address and, optionally, business name. We also use your IP address briefly to limit spam submissions.
- Account data. Name, email, phone number, business details, login credentials and billing details for the people who use AdonisAgent.
- Business customer data. Data a business adds about its members, clients and leads: names, contact details, bookings, attendance, memberships, payments, forms and notes. Each business's data is kept in its own separate database.
- Connected accounts. When a business connects Facebook, Instagram or Google, the data described in the sections below.
- Communications. Emails and messages sent or received through the platform, so the inbox and messaging features work.
- Payment data. Card payments are handled by our payment processor. We do not store full card numbers.
- Technical data. Server logs (IP address, browser type, pages requested) kept for security and troubleshooting.
Facebook and Instagram data
A business can connect its Facebook Page, and the Instagram professional account linked to it, so that AdonisAgent can publish and schedule the posts the business creates, and bring in leads from its Facebook lead forms. With the permissions the business grants through Facebook Login, we access:
- the list of Pages the person connecting manages, and the name and ID of each Page they choose to connect;
- a Page access token, so we can act for that Page;
- the ID and username of the Instagram professional account linked to the Page;
- the ability to publish posts, photos, videos and carousels to the Page and the Instagram account, and to read basic engagement on them;
- where the business turns on lead intake, the answers people submit on that Page's Facebook lead forms.
We use this data only to provide those features to the business that connected the account. Nothing is posted until the business has created or approved it. We do not sell this data, use it for advertising, or share it with anyone other than the service providers listed below. Access tokens are stored server-side and are never shown in the browser.
The business can disconnect a Page at any time in AdonisAgent under Settings → Integrations → Facebook. Disconnecting deletes the stored access token. See Deleting your data for everything else.
Google user data (Limited Use)
A business can connect a Google account, for example to use the two-way email inbox. AdonisAgent then requests access to Gmail through Google's restricted gmail.modify scope, so the business can read, label, send and organise email from inside the platform. We access this data only to provide those features, and only while the account stays connected.
AdonisAgent's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, AdonisAgent does not:
- use Google user data for serving advertising;
- transfer or sell Google user data, except as necessary to provide or improve the feature it was connected for, to comply with applicable law, or as part of a merger or acquisition with notice to you;
- allow humans to read Google user data, unless you give explicit consent for specific messages, it is necessary for security (such as investigating abuse), it is required by law, or the data has been aggregated and anonymised;
- use Google user data to train generalised or non-personalised AI or machine-learning models.
Google authorisation tokens are encrypted at rest. Disconnecting Google in Settings → Email deletes them.
AI features
AdonisAgent uses AI models to draft replies, campaigns, posts, images and summaries. When a business uses these features, the relevant content is sent to an AI provider to produce the result and is not used for anything else. Under the API terms we use, Anthropic and OpenAI do not train their models on that content. Anything an AI drafts that would send, publish or change data waits for a person at the business to approve it.
Lawful bases
- Contract: to provide the platform, manage accounts and support the businesses that use it.
- Legitimate interests: to answer demo requests, keep our systems secure, prevent abuse and improve the product, balanced against your rights.
- Consent: where we ask for it, such as for marketing email. You can withdraw consent at any time.
- Legal obligation: to meet accounting, tax and other legal requirements.
For data a business adds about its own members and clients, the lawful basis is that business's responsibility as controller.
Service providers we use
We share personal data only with service providers that help us run AdonisAgent, under data processing terms:
- Railway — application hosting and databases.
- Mailgun (EU region) and Resend — email delivery.
- Anthropic, OpenAI and OpenRouter — AI text generation.
- fal.ai — AI image and video generation.
- Meta Platforms — publishing to Facebook and Instagram, and lead forms, where a business connects them.
- Google — Gmail (where connected), and Places and YouTube data for market research and exercise videos.
- Our payment processor — card payments.
International transfers
Some of these providers process data outside the European Economic Area. Where they do, we rely on an EU adequacy decision (including the EU-US Data Privacy Framework) or Standard Contractual Clauses.
How long we keep data
- Demo requests: as long as needed to follow up, then deleted, unless you become a customer.
- Account data: for the life of the account, and up to 7 years afterwards where tax and accounting law requires it.
- Business customer data: while the business uses AdonisAgent. When a business closes its account, its data is deleted 30 days later.
- Connected-account tokens: until the account is disconnected.
- Server logs: kept briefly for security and troubleshooting.
Deleting your data
Facebook and Instagram. To remove the data AdonisAgent holds from a connected Facebook Page or Instagram account:
- In AdonisAgent, go to Settings → Integrations → Facebook and disconnect the Page. This deletes the stored access token straight away.
- Optionally, also remove AdonisAgent on Facebook under Settings & privacy → Settings → Business integrations.
- To have posts, post history and leads brought in from Facebook deleted from AdonisAgent too, email privacy@adonisagent.ie with the subject "Data deletion request" and the name of the Page. Posts already published on Facebook or Instagram stay there; you can delete those in Facebook or Instagram.
Everything else. Email privacy@adonisagent.ie to have your account or enquiry data deleted. If you are a member or client of a business that uses AdonisAgent, ask that business; we will act on its instructions.
We confirm deletion requests by email and complete them within 30 days, except for records we must keep by law.
Your rights
Under the GDPR you have the right to access your data, correct it, have it erased, restrict or object to its processing, receive it in a portable format, and withdraw consent at any time. To use any of these rights, email privacy@adonisagent.ie.
You can also complain to the Irish Data Protection Commission at dataprotection.ie, or to the supervisory authority where you live.
Changes to this policy
When we change this policy we will post the new version here with a new "Last updated" date. For significant changes we will also tell account holders by email.
